• All bookings will be in the form of a deposit followed by a final payment.
• You must have fully paid for your place by Friday 28th April 2023. No exceptions.
• All deposits and payments are non-refundable.
• During recent trip planning it has come to our attention that there is a gap in insurance cover that the club simply cannot insure against.
• We highly recommend that any attendees take out a travel insurance policy that contains ‘end supplier failure’ cover. This ensures that if the hotel were to cease trading after the club has paid the final balance, but prior to your visit, you would be entitled to a refund.
• Selling of places is not permitted without the prior consent of the organising committee.
• No adjustments in any form will be made after 1st June 2023.
Q: How much is the initial deposit?
A: The non-refundable initial deposits are from £120 per person.
Q: What’s included in the price?
A : 3 nights dinner, bed & breakfast in the hotel & use of the hotel spa/facilities.
A photographer, welcome meeting, and Gala dinner with entertainment, Also included at no additional cost: fun, laughter & friendship with approx. 100-120 other Curvy Riders from the National club!
Q: So what happens on the trip?
A: A full itinerary will be made available closer to the time but in summary:
Friday evening: Dinner & welcome meeting with a chance to mingle and arrange coffee meets, activities, and/or ride-outs for the weekend, either solo, in groups, or within your region.
Saturday evening: Gala dinner & entertainment – the “main event”.
Sunday: This is a day to recover from the previous evening, with a group photograph being taken in the morning. More opportunities to ride and mingle and sadly start to get ready for the homeward journey on Monday. Our AGM is also scheduled for Sunday evening, prior to dinner and our Committee may have a few things to say to recap on the weekend and send you homeward bound.
Q: Will you have official club ride-outs?
A: We do not organise “official” club ride-outs due to the potential numbers involved, however, we will be making some “things to do” lists and “recommended riding routes” available in advance and during the weekend and we encourage you to arrange rides with other members of your region or with new friends. There is no obligation to take part in these rides, you are free to explore the area. A Trip Facebook Group will be set up for trip attendees and information can also be posted there in advance of the trip.
Q: Can I charge drinks etc back to my room at the official hotel?
A: Yes, you can charge items back to your room. Guests are given the option of paying for personal extras by cash/card at the point of sale or to charge to their bedrooms as personal extras for payment on departure. Should you wish to charge items to your rooms, a pre-authorisation is taken from your debit/credit card on arrival to cover any such costs. This is usually capped at £50.00
Q: I got a place but my roomie didn’t what happens?
A: Make sure your preferred roomie has added themselves to the waiting list and the Trip Team will be in touch within 48hrs of bookings being taken to confirm the position. If your preferred roomie is not on the waiting list then they cannot be offered a place.
Q: I don’t want to share with anyone other than my preferred roomie so can I cancel if they don’t get a place?
A: Make sure they have added themselves to the waiting list initially in case places are available. In the event that they are not offered a place then the Trip Team may offer a refund on this occasion, subject to waiting list availability, and provided final information has not been provided to the hotel.
Q: I don’t want to stay for the full 3 nights, can I have a discount?
A: Unfortunately no. The trip is sold on a “package” basis – you are free to leave early but no discounts or refunds will be offered for this.
Q: Are there any triple / family rooms available?
A: Unfortunately not. Our contract is for single, twin and double rooms only.
Q: I don’t know anyone to share with, what do I do?
A: Just book your place and don’t put a roomie preference down, we will have others in the same position and we will match you up.
Q: Do I have to spend the entire weekend with my roomie?
A: No, these are just accommodation roomies and we will try and seat you together for meals, or with your local region if that works better for you.
Q: Can I swap roomies?
A: Please email the Trip Team on trip@curvyriders.co.uk should you wish to request a room swap, although it cannot be guaranteed.
Q: I stay locally – can I just come along during the day?
A: Absolutely, come and join in the antics! If you want to book in for the gala evening meal or any of the other meals then “meal only” bookings will be taken at a later date subject to the hotel’s function room limits.
Q: I don’t want to stay in the hotel but want to find my own local B&B / Campsite/hotel – can I do that?
A: Absolutely, a list of other local accommodations on Booking.com will be available on the trip web page after bookings have been taken and you are free to use this or any other booking sites. We will also provide a google maps list of local campsites. You will then also be able to book in for meals only at a later date should you wish, subject to the hotel’s function room limits. Please note: none of these venues have contracts with Curvy Riders MCC and any bookings made with them are your own individual responsibility and the club has no liability for these bookings.
Q: I’ve changed my mind and no longer want to go, can I have a refund?
A: All places are sold on a non-refundable basis. Please contact the Trip Team at trip@curvyriders.co.uk if you no longer wish to take up your place on the trip.
Q: I can’t go anymore but someone else in my region is happy to take my place.
A: This is not allowed. Should you need to cancel please contact the Trip Team at trip@curvyriders.co.uk as there may be a waiting list for places. Under no circumstances should your place be offered or sold to another individual to ensure fairness to members on the waiting list. We also recommend that you take out your own holiday insurance.
Q: Why no changes after 23rd June?
A: As per our contract with the hotel, we have to provide room and meal selections to them by a set date, therefore, to ensure we meet our contracted deadlines we cannot accept any changes after 23rd June.
Q: I have dietary requirements – can you meet these?
A: There will be space to note any dietary requirements when the meal choices are published.
Q: Can my husband/partner/friend / non-Curvy member come along?
A: The trip is exclusively for paid members of Curvy Riders MCC.
